Method Statement: Site Operations & Equipment Installation

 

Memories 4R Kidz & Memory Tech Studios

Objective: To ensure the safe, efficient, and professional delivery, installation, and collection of all rental equipment, prioritizing the safety of clients, guests, and our staff.

Phase 1: Arrival & Site Assessment

  1. Site Reporting: Upon arrival, our team will report to the designated contact (hirer or site management) and note all site-specific safety rules and signage.
  2. Vehicle Safety: Our vehicles will adhere to all road and site traffic When moving off-road (e.g., on footpaths or grass), the vehicle will proceed at a crawling speed (<10 km/h) with hazard lights activated.
  3. Initial Site Inspection: The proposed setup area will be inspected to confirm it is safe, suitable, and as previously agreed. This includes checking for:
    • Surface: Flat, clear of sharp objects, debris, and animal
    • Overhead Hazards: Clearance from trees, cables, and
    • Access: Unobstructed path for equipment

Phase 2: Pre-Installation Safety Checks

  1. Weather Check: Wind speed will be measured with an Installation will not proceed if winds exceed 38 km/h (24 mph / Beaufort Scale 5) for inflatables, or if conditions are unsafe for tech equipment (e.g., high winds, rain).

Phase 3: Equipment Installation & Setup

A)  For Inflatables (Bouncy Castles, etc.):

  1. Layout: The inflatable will be unfolded and laid out flat in the designated

7.     Securing & Anchoring:

  • The unit will be securely anchored using 16mm x 380mm steel anchor stakes driven into the ground at a 45-degree angle.
  • On hard surfaces where staking is impossible, the unit will be secured with professional-grade sandbags or weighted systems.

8.     Power & Inflation:

  • The correct blower (1.5 HP) will be connected to the inflatable’s blower pipe, ensuring it is straight and unobstructed.
  • The blower will be positioned at least 5 meters away from the inflatable.
  • All electrical cables will be routed safely around the perimeter and secured with anti-trip covers where they cross walkways.
  1. Final Checks: All anchor points, safety mats, and cable routes will be inspected before inflation. All vents will be checked and secured.

B)  For Memory Tech Studios Equipment (VR, Photo Booths, etc.):

  1. Positioning & Power: Equipment will be placed on a stable, level All power cables will be connected to a grounded outlet and secured with cable protectors.
  2. System Calibration: Tech equipment will be powered on, and a full functional test will be conducted (e.g., VR sensors calibrated, photo booth software tested).
  3. Safety Perimeter: A safe operating perimeter will be established around tech zones, especially for 360 booths and VR stations.

Phase 4: Client Handover & Operational Monitoring

  1. Safety Briefing: Our team will provide a direct handover to the client’s responsible adult, explaining operational basics and reviewing all critical safety rules.
  2. Supervision Protocol: It is the hirer’s responsibility to provide constant adult supervision to enforce safety rules and manage participants.
  3. Weather Monitoring: The hirer must monitor weather conditions and evacuate equipment during rain or high Inflatables must be towel-dried before re-use.
  4. Fuel Management (if using a generator): The hirer must monitor generator fuel levels, refuelling only when the unit is off and cool. Spare fuel must be stored in a secure, well- ventilated area away from the event.

Phase 5: Breakdown & Site Departure

  1. Controlled Deflation: At the end of the hire, all users will exit the For inflatables, vents will be opened to assist deflation.
  2. Equipment Pack-down: All equipment (anchors, blowers, tech gear) will be carefully disconnected, packed, and loaded onto our vehicle.
  3. Site Inspection: The area will be inspected and left clean, free of any debris or equipment from our setup.
  4. Departure: Our vehicle will depart the site, adhering to all site rules and traffic
